If you don\u2019t have one, it\u2019s simple<a href=\"https:\/\/wpmu-dev.pro\/\" target=\"_blank\" rel=\"noopener\"> to get started<\/a>.<\/p>\n<p>And with that, let\u2019s begin!<\/p>\n<h2 id=\"1\">1.<a id=\"post-582-_rumz6lds93ud\" target=\"_blank\"><\/a> Automating Your Client Billing and Management<\/h2>\n<p>As you\u2019ll see, there are several ways to automate features in Client Billing. Automation is a great hands-off approach to focusing on <a href=\"https:\/\/wpmu-dev.pro\/blog\/running-wordpress-business-with-wpmudev\/\" target=\"_blank\" rel=\"noopener\">growing and running your WordPress business<\/a> instead of manually dealing with financial transactions and setting up paperwork.<\/p>\n<p>We\u2019ll touch on what you can do and give you a glimpse of how it\u2019s done!<\/p>\n<h3 id=\"automated\">Automated Subscriptions<\/h3>\n<p>Recurring payments are the best way to \u201cset it and forget it\u201d when billing customers for services or products. It automates sending invoices, so you don&#8217;t have to collect payments manually.<\/p>\n<p>Subscriptions can include hosting, site maintenance, updates \u2013 whatever you\u2019d like. Essentially, anything that will be recurring for your business, you can automate the payment.<\/p>\n<p>Get started with a new subscription by simply heading to the <strong>Products &amp; Services<\/strong> area and clicking <strong>New Product<\/strong>.<\/p>\n<figure id=\"attachment_203116\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203116\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/new-product.png\" alt=\"Where you add a new product\" width=\"606\" height=\"258\" \/><figcaption class=\"wp-caption-text\">This will get you started with a new subscription.<\/figcaption><\/figure>\n<p>Create a <strong>Product Name<\/strong>, and you can also include an image.<\/p>\n<video loop muted autoplay playsinline class='dev-html5-video'><source src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/Screen-Recording-2021-11-08-at-9.44.40-AM.webm\" type=\"video\/webm\"><source src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/Screen-Recording-2021-11-08-at-9.44.40-AM.mp4\" type=\"video\/mp4\"><\/video>\n<p style=\"text-align: center;\"><small>We\u2019ll set this one up to include a hosting service.<\/small><\/p>\n<p>Give your product or service a <strong>Plan Name<\/strong>, <strong>Price<\/strong>, and<strong> Billing Type<\/strong> (recurring or one-time).<\/p>\n<figure id=\"attachment_203118\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203118\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/one-time.png\" alt=\"One time payment option\" width=\"600\" height=\"254\" \/><figcaption class=\"wp-caption-text\">For one-time payments \u2013 that\u2019s it! No more information is needed.<\/figcaption><\/figure>\n<p>With the recurring plan, you can add how often to charge in the <strong>Bill Every<\/strong> area (e.g. one month). Plus, add an appropriate billing cycle.<\/p>\n<figure id=\"attachment_203119\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203119\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/recurring.png\" alt=\"The recurring pricing plan option.\" width=\"600\" height=\"359\" \/><figcaption class=\"wp-caption-text\">You can choose between days, weeks, months, and years for billing!<\/figcaption><\/figure>\n<p><strong>Duplicate a plan <\/strong>by clicking the ellipsis, and you\u2019re all set!<\/p>\n<figure id=\"attachment_203120\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203120\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/duplicate-plan.png\" alt=\"Where you duplicate a plan.\" width=\"600\" height=\"399\" \/><figcaption class=\"wp-caption-text\">You can duplicate a plan as many times as you want. Delete the plan from here, too.<\/figcaption><\/figure>\n<p>Once your plan is added, you can attach it to any customers you have in your dashboard. The plan name can be tweaked and updated at any time, too.<\/p>\n<p>For more on adding recurring payments and subscriptions, <a href=\"https:\/\/wpmu-dev.pro\/docs\/hub-2-0\/client-billing\/#products-services\" target=\"_blank\" rel=\"noopener\">check out our documentation<\/a>.<\/p>\n<h3 id=\"bill\">Billing Clients<\/h3>\n<p>As clients get added to your Hub, you can instantly bill them on a per-site basis.<\/p>\n<p>This is how you quickly send an invoice for a client; whether you created new features to their WordPress site, added some new security features to their existing site, or whatever the reason for billing is \u2013 to bill a client is as efficient as ever.<\/p>\n<p>It\u2019s all done by clicking on <strong>Bill Client<\/strong> in the upper right corner.<\/p>\n<figure id=\"attachment_203121\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203121\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/bill-client.png\" alt=\"The bill client button\" width=\"600\" height=\"324\" \/><figcaption class=\"wp-caption-text\">The Bill Client button is located in several areas throughout Client Billing.<\/figcaption><\/figure>\n<p>Instantly bill a client by pulling them from the <strong>Client <\/strong>dropdown. And if you want, choose a website that they\u2019re associated with.<\/p>\n<figure id=\"attachment_203124\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203124\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/clients-dropdown.png\" alt=\"Dropdown of clients\" width=\"600\" height=\"306\" \/><figcaption class=\"wp-caption-text\">All of your clients are located here.<\/figcaption><\/figure>\n<p>Choose a <a href=\"https:\/\/wpmu-dev.pro\/docs\/hub-2-0\/client-billing\/#creating-invoices\" target=\"_blank\" rel=\"noopener\">product or service you want to bill for.<\/a> The quantity and the amount will be displayed. Plus, add as many products and services as you\u2019d like. Also, you can include tax and specify what it\u2019s for and the rate.<\/p>\n<figure id=\"attachment_203126\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203126\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/products-and-services.png\" alt=\"The products and services area.\" width=\"606\" height=\"485\" \/><figcaption class=\"wp-caption-text\">For this example, it\u2019s $25 a month for a hosting plan.<\/figcaption><\/figure>\n<p>From here, you can\u2026<\/p>\n<h3 id=\"invoice\">Invoice in a Click<\/h3>\n<p>Once your information is entered, you can look at your invoice and send it in one click by tapping <strong>Send Invoice<\/strong>. That\u2019s no problem. You\u2019re ready to send it to your client! Or, go back and edit anything.<\/figcaption><\/figure>\n<p>Once sent, having your clients pay is easy as ever. For starters, to get a quick glimpse at your Monthly Recurring Revenue (MRR), simply check it out from the <strong>Client Billing Overview<\/strong> in the <strong>Revenue<\/strong> area. Here, it\u2019ll give you the total amount of what you\u2019re bringing in monthly.<\/p>\n<figure id=\"attachment_203137\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203137\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/monthly-recurring-revenue.png\" alt=\"The mrr in the hub\" width=\"600\" height=\"330\" \/><figcaption class=\"wp-caption-text\">You can also see the number of active subscriptions.<\/figcaption><\/figure>\n<p>Take a look at what individual clients\u2019 MRR is by going to their profile and viewing their <strong>Overview<\/strong>. In the <strong>Billing Stats<\/strong>, you can see how much MMR that particular client is bringing in.<\/p>\n<figure id=\"attachment_203139\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203139\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/client-billing-overview.png\" alt=\"What the client is bringing in\" width=\"600\" height=\"137\" \/><figcaption class=\"wp-caption-text\">This client is bringing in $90 in MRR.<\/figcaption><\/figure>\n<p>See in detail what exactly is bringing in the income. Simply click on <strong>Products &amp; Services<\/strong>. From here, you can view <strong>Current Subscriptions<\/strong>, <strong>One Time<\/strong> (payments), and <strong>Inactive Subscriptions<\/strong>.<\/p>\n<p>It will also indicate if anything is <strong>Past Due<\/strong> and what\u2019s <strong>Active<\/strong>. Additionally, you\u2019ll see the <strong>amount it\u2019s bringing in<\/strong>, the <strong>Number of Products<\/strong>, the <strong>Website<\/strong> it\u2019s for, and the <strong>Next Renewal<\/strong> date.<\/p>\n<figure id=\"attachment_203140\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203140\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/active-subscriptions.png\" alt=\"The active subscriptions\" width=\"600\" height=\"248\" \/><figcaption class=\"wp-caption-text\">Uh-oh. The red indicates that one of these subscriptions is past due.<\/figcaption><\/figure>\n<p>Anytime a new subscription is added, it will automatically include it to Client Billing \u2013 in the Overview and on individual clients\u2019 profiles.<\/p>\n<h2 id=\"2\">2. <a id=\"post-582-_21phsfhb3ral\" target=\"_blank\"><\/a>Branded Invoices and Emails<\/h2>\n<p>Keeping your brand look, design, and information consistent throughout your billing is vital. It makes it clear that you\u2019re established and professional. Luckily, Client Billing has a one-setup way of going about it.<\/p>\n<p>All of this is done from the <strong>Configurations<\/strong> section.<\/p>\n<h3 id=\"adding\">Adding Your Brand<\/h3>\n<p>Include your brand and company information for invoices and emails in just a few steps. You can go back in at any time to make edits as needed.<\/p>\n<h3 id=\"customizing\">Customizing Invoices<\/h3>\n<p>Customizing your invoices adds credibility and professionalism to your business \u2013 and makes you stand out. Client\u2019s can login to their Hub to pay bills, view orders, edit their information, and more!<\/p>\n<p>Here\u2019s a rundown of some of the essentials to get the most out of your client\u2019s experience.<\/p>\n<h3 id=\"client\">Client Login<\/h3>\n<p>The client has their own area in your Hub to log in to view their profile, including vital information about their billing (e.g. orders, bills, etc.). It provides a great customer experience and makes it easy for them to manage their billing on their end.<\/p>\n<p>This is done with the help of the <a href=\"https:\/\/wpmu-dev.pro\/project\/the-hub-client\/\" target=\"_blank\" rel=\"noopener\">Hub Client plugin<\/a> (which we\u2019ll get into next).<\/p>\n<p><strong>From The Hub<\/strong><\/p>\n<p>Invite a new client to be added to your Hub by entering their information under the <strong>Client<\/strong> tab and <strong>New Client<\/strong>.<\/p>\n<figure id=\"attachment_203189\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203189\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/new-client.png\" alt=\"Where you add a new client\" width=\"600\" height=\"244\" \/><figcaption class=\"wp-caption-text\">Click the button and you&#8217;re all set.<\/figcaption><\/figure>\n<p>From here, you enter their information. (Please note that you can also import clients from Stripe. Information on how to do that <a href=\"https:\/\/wpmu-dev.pro\/docs\/hub-2-0\/client-billing\/#adding-clients\" target=\"_blank\" rel=\"noopener\">can be found here<\/a>.)<\/p>\n<p>You pick what <a href=\"https:\/\/wpmu-dev.pro\/blog\/hub-users-and-roles-members-clients\/\" target=\"_blank\" rel=\"noopener\">roles the user will have<\/a>. For example, you can let the <strong>View All &amp; Access Billing<\/strong>, <strong>Access Billing Only<\/strong>, and more \u2013 including adding custom user roles.<\/p>\n<figure id=\"attachment_203154\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203154\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/add-client-1.png\" alt=\"Where you add a client\" width=\"600\" height=\"576\" \/><figcaption class=\"wp-caption-text\">What user role do you want your client to have?<\/figcaption><\/figure>\n<p>There\u2019s also a Hub dropdown, where you select what Hub you want the client to access.<\/p>\n<p>All set with their User Role and what Hub they\u2019ll be using? Click the tab to <strong>Invite Client<\/strong>, and tab <strong>Add \u2013 <\/strong>and you\u2019re all set. Your new client will get a login invitation. More information on setting this up is <a href=\"https:\/\/wpmu-dev.pro\/docs\/hub-2-0\/client-billing\/#adding-clients\" target=\"_blank\" rel=\"noopener\">found in our documentation<\/a>.<\/p>\n<p>Your client can then open the email and set up a username and password by clicking <strong>Confirm Information<\/strong>. This email contains all the branded information we covered earlier in this article, plus the Client\u2019s name (or business).<\/p>\n<p>You can see below where your information will be incorporated.<\/p>\n<figure id=\"attachment_203155\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203155\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/confirm-invitation.png\" alt=\"Where you confirm your invitation\" width=\"600\" height=\"520\" \/><figcaption class=\"wp-caption-text\">All of your personal information that you want to include will be in the email invitation.<\/figcaption><\/figure>\n<p>The client will be taken to a field where their email address is prepopulated. They just create a password, and that\u2019s it! This makes the process streamlined, simple, and convenient for your client \u2013 and you.<\/p>\n<p>When a client logs in, they can easily view their <strong>Billing Details<\/strong>. This is an overview of everything, including their <strong>Monthly Recurring Bill<\/strong>, <strong>Active Subscriptions<\/strong>, <strong>Billing Info<\/strong>, and more.<\/p>\n<figure id=\"attachment_203160\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203160\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/billing-details.png\" alt=\"Billing details\" width=\"600\" height=\"465\" \/><figcaption class=\"wp-caption-text\">It\u2019s a complete overview of what the client is being billed for.<\/figcaption><\/figure>\n<p>Your client can do a ton from here. This includes changing or adding information, such as billing address, payment method, and email address.<\/p>\n<p>Plus, it will immediately indicate if a payment is due with a number circled in red next to the Invoices tab.<\/p>\n<figure id=\"attachment_203161\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203161\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/invoices-due.png\" alt=\"The amount of invoices notification\" width=\"600\" height=\"319\" \/><figcaption class=\"wp-caption-text\">There\u2019s one payment due in this example.<\/figcaption><\/figure>\n<p>The <strong>Invoice<\/strong> tab is where clients can pay their invoice, plus it shows what\u2019s been paid already (indicated in green).<\/p>\n<figure id=\"attachment_203162\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203162\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/invoice-tab.png\" alt=\"Payment due notification\" width=\"600\" height=\"268\" \/><figcaption class=\"wp-caption-text\">As you can see, once payment is paid, and another one is due.<\/figcaption><\/figure>\n<p>When clicking a specific invoice, the client can view, pay, or download a PDF of it.<\/p>\n<figure id=\"attachment_203163\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203163\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/make-payment.png\" alt=\"Where clients can make a payment\" width=\"600\" height=\"531\" \/><figcaption class=\"wp-caption-text\">In this case, $25 is due for site maintenance.<\/figcaption><\/figure>\n<p>When your client hits the<strong> Make Payment<\/strong> button, it will give them a Billing Summary of what they\u2019re paying for and then an area for them to enter their payment information.<\/p>\n<figure id=\"attachment_203164\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203164\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/pay-invoice.png\" alt=\"Where clients make a payment\" width=\"600\" height=\"492\" \/><figcaption class=\"wp-caption-text\">$25 gets this subscription started.<\/figcaption><\/figure>\n<p>The invoice is processed, and you\u2019ll get a notification on your end that it was paid.<\/p>\n<h2 id=\"4\">4. Manage Clients, Payments, and Revenue<\/h2>\n<p>Client Billing has all the essentials to manage clients, payments, and revenue. Plus, your clients get the same treatment on their end, where they can view and pay invoices, edit their account information, and more.<\/p>\n<p>Let\u2019s get right into the gist of what all you can do, starting with\u2026<\/p>\n<h3 id=\"account\">Account Managment<\/h3>\n<p><strong>Account Management<\/strong> is for you and the client to know what your billing looks like, manage subscriptions\/purchases, and update information. There\u2019s a lot that you both can do.<\/p>\n<p>Your client can manage their accounts all in this portal. As we went over, they can add their information and view and pay invoices. Clients can also <strong>Change Passwords<\/strong>, set up <strong>Two Factor Authentication<\/strong>, and <strong>View profiles<\/strong> from their icon while logged in.<\/p>\n<figure id=\"attachment_203166\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203166\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/client-profile.png\" alt=\"The client profile view\" width=\"600\" height=\"492\" \/><figcaption class=\"wp-caption-text\">This is the view the client has.<\/figcaption><\/figure>\n<p>They can also view their <strong>Products &amp; Services<\/strong>. This shows active subscriptions, the number of products, the next renewal date, and when the purchase was created. Plus, they\u2019re able to view <strong>Current Subscription<\/strong>, <strong>One Time<\/strong>, and <strong>Inactive Subscription<\/strong> from the tabs.<\/p>\n<figure id=\"attachment_203167\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203167\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/tabs-in-products-and-services.png\" alt=\"Tabs for payments\" width=\"600\" height=\"215\" \/><figcaption class=\"wp-caption-text\">Clicking on a tab shows just those results.<\/figcaption><\/figure>\n<p>Your client can even <strong>Request to Cancel<\/strong> an active subscription by clicking on the ellipsis next to it.<\/p>\n<figure id=\"attachment_203168\" class=\"wp-caption aligncenter\" data-caption=\"true\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-203168\" src=\"https:\/\/wpmu-dev.pro\/blog\/wp-content\/uploads\/2021\/11\/request-to-cancel.png\" alt=\"Request to cancel\" width=\"600\" height=\"252\" \/><figcaption class=\"wp-caption-text\">From the ellipsis, they can also view subscriptions and invoices.<\/figcaption><\/figure>\n<p>That\u2019s a glimpse at management from the client\u2019s side; let\u2019s take a look at what you\u2019re capable of doing on your end.<\/p>\n<h3 id=\"viewing\">Viewing and Editing Clients<\/h3>\n<p>Pulling up your roster of clients is quick and easy to access and manage. All of this is done from the <strong>Clients<\/strong> tab.<\/p>\n<p>From here, you can pull up individual clients, view <strong>Account Statuses<\/strong>, add <strong>New Clients<\/strong>, get your <strong>MRR<\/strong>, and see your <strong>Net Billing<\/strong>.
